Essential Steps to Take Before Deprecation of the Activities Tab

Change is inevitable, and in the world of technology, it’s a constant. Zoho CRM users, brace yourselves for a significant change as Zoho recently announced the deprecation of the Activities Tab.

While change can be unsettling, it can also be an opportunity for growth and improvement.

It’s important to note that If you acquires Zoho CRM after January 2022, you won’t be impacted by this deprecation. The Activities module for these accounts has already been removed and what’s used are Tasks, Meetings and Calls, as independent modules.

For longer-term Zoho CRM users, here are some essential steps that you should take before the Activities Tab is deprecated from 1st November 2023.

1. Backup Your Data:

Before any major change in your CRM system, it’s sensible to safeguard your data. Export all your current activities, including tasks, meetings, and calls. It’s a bit ‘belt and braces’ as Zoho maintain no-one will lose data. But our advice is to make sure not to lose any valuable information during this transition.

2. Review Your Workflows:

Activities are often at the core of your business processes. Evaluate your existing workflows and automation rules that involve the Activities Tab. You may need to adjust in advance, to ensure your business operations run smoothly post-deprecation.

3. Check Components Dependent on the Activities Tab:

If any reports, dashboards, custom views and your home page use Activities tab data, you should amend them before November 1st. These are:

  • Reports (associated with the Activities tab)
  • Dashboards (associated with the Activities tab)
  • Home page components (associated with the Activities tab)
  • Motivator components (associated with the Activities tab)
  • Custom views (associated with the Activities tab).

4. Train Your Team:

Change affects everyone in your organisation. Conduct training sessions for your team to introduce them to the new way of managing activities within Zoho CRM. Ensuring everyone is on the same page will prevent confusion and disruptions.

5. Explore the Alternative Features:

Zoho CRM has existing features and tools to compensate for the loss of the Activities Tab. Familiarise yourself with these features, such as the Timeline View or other alternatives, and understand how they can improve your workflow.

6. Update Documentation:

If your organisation maintains manuals or guidelines for using Zoho CRM, update them to reflect the changes. This will help new users adapt and ensure that your team remains efficient.
